FAQ
AI, automation and operations in the Mittelstand. The questions we hear before every project, and our answers.
With the Readiness Check. Ten minutes online, then you receive your result by email: maturity level, your position compared with the Mittelstand and first levers. It includes a free 45-minute conversation with one of our experts in which we put the result into context.
Everything else you decide stage by stage: potential analysis, process analysis and concept, implementation and enablement. After each stage you hold a tangible result and decide whether to continue.
Systematically rather than by gut feeling. The Readiness Check asks for your three biggest time sinks and rates them by frequency, rule-basedness, data availability and cost of errors. In the potential analysis (stage 1) we go deeper: we capture the processes with your team, estimate the lever in hours and euros and prioritize. That includes the processes that are not worth it.
Rule of thumb: frequent, rule-based and document-heavy is a good candidate.
Yes. Getting started costs you ten minutes for the check and 45 minutes for the conversation. We do the analysis in between. The potential analysis also runs in a few focused sessions with the people who carry out the processes every day, remotely and without your whole team losing a day.
The result belongs to you and can be used independently of us, for example as a baseline for your leadership team. In the expert conversation we tell you honestly whether and where the next step is worthwhile. If yes, the potential analysis follows. If not, you know that too, and you have invested nothing.
It takes about ten minutes online. You see your result type immediately. The full report with benchmark comparison, a potential estimate in euros and pilot candidates comes by email. A free 45-minute expert conversation is included.
The Automation Atlas is a workshop method. It breaks processes down into sub-steps, measures the benefit in hours, rates the effort in T-shirt sizes and ends with a prioritized roadmap. Most administrations know after two days what is really worthwhile.
Getting started is free. The potential analysis gives you the lever in euros: hours per process times fully loaded hourly rate, and how much of that can realistically be automated. Only on this basis do we scope the implementation individually, without a retainer and without a proprietary platform. First working automations typically emerge in days, not months.
Especially there. The more manual, recurring work per person, the bigger the lever. In our projects the typical return on investment is under six months. Whether it pays off for you is shown by the free Readiness Check before you spend a euro.
Enablement is a stage of its own with us, not a side effect. The automations run on tools such as n8n, Make or Airtable that your team understands, owns and develops further itself. We build internal champions who can continue without us. No retainers, no platform that only we can operate.
Tools such as n8n, Make and Airtable cover most operational automations without any developers of your own. We build such stacks together with your business team and train it to run and extend the workflows itself. Where a process needs a tool of its own, the same team that designed it builds it.
Yes. Operational automations need process knowledge above all, not development resources. We work directly with the business teams that carry out the processes. IT comes in where system access, data protection or existing infrastructure are affected. On request, everything runs on your own infrastructure.
Document processing is one of the most rewarding use cases. Example from our portfolio: at the real estate investor STM Invest, incoming invoices, bank statements and letters from authorities are classified, read and routed automatically, more than 700 documents a month. The pattern works in any document-heavy back office.
Technology follows the process. Depending on the case that means models from Anthropic, OpenAI or Google, connected via n8n or Make, with Airtable or your existing systems as the data basis. What matters is what is reliable, economical and operable by your team in the long term. For sensitive data we also use local models on your hardware.
First working automations typically emerge in days, not months. The potential analysis runs in a few focused sessions, and the concept stage ends with a fixed price for the implementation.
Yes. On request everything runs on your own infrastructure, including self-hosted n8n and GDPR-compliant language models, and sensitive data stays in your environment.
Technology follows the process. The deciding factors are complexity, data protection, ownership and what your team can run itself.
Your team runs and extends the solution, and we hand over on purpose.
The potential analysis (stage 1) answers which processes are worthwhile and how big the lever is. The process analysis with concept (stage 2) answers how exactly: we capture the selected process in detail, design the target process and define which steps are automated, with which tools and in which order. After that, implementation can be planned.
Institutional offerings such as the IHK, Fraunhofer or Mittelstand-Digital are good for basic knowledge and orientation. We start where training ends: with your concrete processes, an individual prioritization and subsequent implementation. Rule of thumb: whoever wants to learn goes to an institution. Whoever wants to implement goes to a specialist.
coompanion (lowercase, coompanion.io) is a Munich-based consultancy for operations and applied AI run by Venturo GmbH, founded by former COOs. The focus is on making processes measurably better, faster and more automated. Not to be confused with Coompanion Sverige (coompanion.se), the Swedish cooperative network.
Mainly the DACH region and Spain, in German, English, Spanish and French.
The goal of AI and automation is to take over repetitive and tedious tasks. We believe that with technology, humans are able to get time back and focus on expertise.
A €100,000 project budget in 2026 for selected organisations, with 4 weeks from application to project start.
Yes. With on-premise, self-hosted applications we make sure your administration continues to act in a legally sound way. No data leaves your servers. If data does have to be transferred outside, we redact it beforehand in a GDPR-compliant way.
From the very start, not just before go-live.
Then we automate in the shadow process around it: mailboxes, scans, Excel lists.
No. n8n runs in containers on your own servers, without external APIs. Nothing leaves the data centre.
With the Automation Atlas. Afterwards you have a prioritized roadmap that your departments stand behind.
In a non-binding initial conversation we can understand your ambitions and give a cost estimate. In addition, digitalization projects can be (partly) financed through established funding programmes in many federal states and municipalities.
Our clients in city administration benefit from efficiency gains of sometimes more than 40 working hours per month and per process. With 10 processes that is more than 400 working hours, the equivalent of almost 3 additional full-time employees.
Our goal is always to enable teams to continue and develop further without our help. We train so-called citizen developers who can carry out your automation projects independently and only need to come back to us in exceptional cases.
Your path with us
Four stages, at your pace. After each stage you decide how far to take your automation journey, and each one gives you a tangible result.
In about ten minutes you answer questions online about your processes, systems and team. You get two results, both free of charge:
Process Assessment
Together with the people who run them every day, we map your core processes and identify automation and AI potential, rated by benefit in hours and effort in T-shirt sizes.
Solution Blueprint
For the top processes from the analysis, we design the solution in detail: target process, architecture, tools, data flows and responsibilities. At the end you know exactly what will be built and what it costs.
Implementation
We build the foundation (data layer, integrations, automation hub) and, on top of it, the solutions from the concept. Either as a project with a clear end or as ongoing support in which your team takes over step by step.
